Facebook, Instagram and WhatsApp messages in one place
How to manage Facebook, Instagram and WhatsApp messages in one place: what to look for in a shared inbox and how to split the work in your team.

It is 11 in the morning in a small children's clothing shop in Tirana. The owner has her phone in one hand and a tablet in the other. On Messenger someone asks about a jacket, on Instagram a mother wants the size for a four-year-old, and on WhatsApp a customer has been waiting since last night for the delivery address to be confirmed. At the till, the shop assistant has Instagram open on her own phone and has just answered a customer who, without anyone knowing, had also written on Messenger. The customer gets two different answers to the same question.
Nobody made a mistake on purpose. The messages simply live in three apps, and each person sees only part of them. In this guide we look at why scattered messages cost you customers, what to look for in a shared inbox, and how to organise your team's day.
Why scattered messages cost you customers
Every app has its own notifications, its own list and its own way of showing what has been read. When a team works in three or four places at once, the same problems keep coming back:
- A read message stays unanswered. Someone opens the chat, thinks "I'll reply in a minute", and the conversation no longer looks new to anyone.
- Two people answer the same customer, or each thinks the other one is handling it.
- The history gets lost. The customer who asked yesterday on Instagram writes today on WhatsApp, and the team starts from scratch.
- You don't know how fast you reply. Without one shared place, you can't measure reply time or compare one channel with another.
- A personal phone becomes the office. Passwords get shared, work notifications mix with family ones, and when someone leaves the job it isn't clear what they take with them.
Working harder doesn't fix this. Bringing the conversations together does.
What to look for in a shared inbox
A shared inbox collects conversations from every channel into one list where the team works together. Before you choose a tool, check these points:
- Every channel you use. Messenger, Instagram messages and comments, WhatsApp Business and your website chat. If the channel where most customers write to you is missing, you have only solved half the problem.
- Official connections. Channels should connect through Meta's official APIs, not by handing someone your page password.
- Assigning conversations. Every conversation has a clear owner, so two people don't reply and none is forgotten.
- Internal notes. A colleague writes inside the conversation "wants it in blue, picks it up on Tuesday", and the customer doesn't see it.
- Roles and permissions. Not everyone should see the reports, delete data or change the settings.
- Labels, filters and search. "New order", "waiting for payment", "complaint": one click shows only what you need.
- A customer card. Name, phone and past conversations in one place, even when the customer has written from different channels.
- Simple reports. At least reply time and how many conversations come from each channel.
- Security and pricing model. Ask where the data is stored and whether you pay for every team member or for the business.
When you try a tool, take five real conversations from last week and see how easily you can follow each one from start to finish.
How to organise your team's day
The tool helps, but the team sets the rules. These steps work from today, even with the apps you already have:
- Start the day with open conversations. Before anything else, check what was left unanswered from the evening and the night.
- Split responsibilities. By shift (morning, afternoon) or by task (orders, product questions, complaints). When "everyone sees them", usually nobody follows them.
- Use the same labels. Agree on four or five labels and don't add new ones every week.
- Leave a note when you hand a conversation over. The colleague who takes it should understand the situation without reading everything from the top.
- Prepare the texts you repeat. Opening hours, delivery, payment methods and the address are written well once and adapted for each customer.
- Close the day with a short check. Five minutes before closing: are there conversations without an owner, or customers waiting for a reply you promised?
- Look at reply time once a week. Not to blame anyone, but to see when and where customers wait the longest.
If several colleagues answer customers from the same number, we have a separate guide on WhatsApp Business with multiple users.
How AsistentiAI does it
The AsistentiAI platform brings conversations from Facebook Messenger, Instagram (messages and comments, with private and public replies), WhatsApp Business and your website chat into one list. WhatsApp can connect with the number you already use in the WhatsApp Business app, and your previous chats and contacts come into the dashboard. Every channel connects through Meta's official APIs.
Inside the dashboard:
- «Needs you» brings to the top the conversations that need a person, with a notification and a draft reply ready.
- The team works together: assign a conversation to a colleague, leave internal notes, create tasks and use labels, filters and saved views.
- Nothing gets lost unnoticed: search inside a conversation, reply to a specific message, and a message that fails to arrive is marked as not sent and can be resent.
- Roles Administrator, Supervisor, Operator and Editor: each person sees and does only what the Administrator allows.
- Orders and bookings are created from the conversation, with a bookings calendar and a list of leads.
- The customer card keeps the name, phone, email, notes and every conversation.
- Reports show reply time and conversations by channel, arrive every week by email and download as Excel, CSV or Word.
On top of this works the AI agent, which answers customers 24/7 in Albanian, English and Italian, even when they write without Albanian accents or in dialect. It answers only from your business's own information and, when it doesn't know, hands the conversation to a colleague with a draft ready. You can pause it whenever you like: for the whole business, for one channel or for a single conversation.
Every business has its own space and the data is stored in the EU. Pricing is per business, not per person: besides the Administrator, Starter includes 3 users, Professional 5 and Business 10, while Enterprise has unlimited users. The platform and the agent are included in every plan, from $120 a month. Details are on the pricing page.
