WhatsApp Business with multiple users on one number

How several colleagues can work on one WhatsApp Business number: the limits of a shared phone, team rules that work, and a shared inbox with roles.

Three colleagues at one table with their laptops and a phone, sharing customer conversations

A pastry shop that takes cake orders has used the same WhatsApp number for years. Customers have it saved, find it on the cake boxes and pass it on to friends. The phone sits next to the till: in the morning the colleague on the first shift answers, in the afternoon the colleague on the second shift, and in the evening the owner takes it home to check the next day's orders.

One Saturday a customer writes: "Is the cake ready for 5 pm?". Someone had replied "yes, noted" three days earlier, but nobody remembers who, or where it was written down. The cake is ready on time, but only after an hour of phone calls between colleagues.

This happens wherever several people share one WhatsApp number. Below we look at the limits of a shared phone, what linked devices solve and what they don't, which rules calm the work down, and how a shared inbox fixes the rest.

The shared phone and its limits

Most businesses start like this: one phone, one number, and whoever has time answers. For a few messages a day it is enough. As messages and people grow, the same problems appear:

  • Nobody knows who replied. Every message goes out under the business name. After a few days there is no way to tell who promised what.
  • Read conversations get forgotten. Someone opens a message, leaves it for later, and to the colleagues the conversation looks handled.
  • The phone is in one place only. When the colleague holding it is serving a customer at the counter, messages wait.
  • There is nowhere for notes. "Paying by bank transfer", "wants it without nuts": these stay in someone's head or in a notebook.
  • Security gets weaker. A phone that everyone opens, with no PIN or with a PIN the whole team knows, leaves conversations and customer data exposed.

What about linked devices?

WhatsApp lets you use the same account on linked devices too, for example on a computer. That helps: a colleague types from a keyboard and the phone no longer passes from hand to hand.

But linked devices answer the question "where do we write from", not "who is handling this customer". For real teamwork you also need:

  • a clear owner for every conversation;
  • internal notes the customer doesn't see;
  • different permissions for each person, according to their job;
  • a view of reply time, so you know where customers are waiting.

App features change from time to time, so check what WhatsApp Business offers for your account today and decide whether it is enough for you.

Team rules that calm the work down

Even without any other tool, these rules change the day noticeably:

  1. One owner per conversation. Whoever starts the conversation with a customer takes it to the end. If they hand it over, they say so clearly.
  2. Shared labels. The app has labels; agree on a few, such as "new order", "waiting for payment", "confirmed", "complaint", and use them the same way.
  3. A name on the messages that matter. A short name at the end of confirmations and promises tells you later who gave their word.
  4. One single place for notes. If you can't write inside the conversation, keep one shared sheet for orders and promises, not scraps of paper.
  5. Shift handover. At the end of a shift, a short message to the next colleague: which conversations are waiting and what was promised.
  6. Ready-made texts. The app's quick replies for opening hours, address and delivery keep answers consistent, whoever writes.
  7. PIN and two-step verification. Put a PIN on the phone, turn on two-step verification in WhatsApp and don't give the code to just anyone.
  8. Whoever leaves, logs out. When a colleague leaves the job, remove the device they used from the account and change the codes they knew.

How a shared inbox solves it

As messages and people grow, rules on paper wear out fast. A shared inbox turns them into a way of working: every colleague has their own login, every conversation its own owner, and every note stays where it belongs.

On the AsistentiAI platform, WhatsApp can connect with the number you already use in the WhatsApp Business app. Customers keep writing to the number they know, while previous chats and contacts come into the dashboard, so the team doesn't start from scratch. The connection goes through Meta's official APIs.

  • Roles for everyone. Each colleague signs in with their own account, with a code by email, as Administrator, Supervisor, Operator or Editor, and sees and does only what the Administrator allows.
  • Assignment and notes. Assign the conversation to a colleague, leave internal notes the customer doesn't see, and create tasks for what needs doing later.
  • «Needs you». Conversations that need a person rise to the top, with a notification and a draft reply from the agent.
  • No lost messages. A message that fails to arrive is marked as not sent and can be resent. You can also search inside a conversation and reply to a specific message.
  • The customer card. Name, phone, email, notes and every conversation. The agent recognises a returning customer by phone number, even when they write from another channel.
  • Reports. Reply time and conversations by channel, a weekly email report and downloads as Excel, CSV or Word.

The same inbox also brings in Messenger, Instagram and your website chat, so the team doesn't jump from one app to another. We explain how to bring every channel together in Facebook, Instagram and WhatsApp messages in one place.

The AI agent answers customers 24/7 in Albanian, English and Italian, only from your business's own information. When it doesn't know, it hands the conversation to a colleague with a draft ready. You can pause it whenever you like: for the whole business, only for WhatsApp, or for a single conversation. Over time it also learns from the team's answers.

Frequently asked questions

Can several people use the same WhatsApp Business number?

Yes. In the app, the number can also be opened on linked devices. For teamwork with owners, notes and roles, the number connects to a shared inbox through Meta's official APIs.

Do old chats get lost when the number connects to AsistentiAI?

No. We connect the number you already use in the WhatsApp Business app and bring your previous chats and contacts into the dashboard.

Do I pay for every colleague separately?

With AsistentiAI, no. Pricing is per business, not per person, from $120 a month, and it includes the platform and the AI agent. Besides the Administrator, Starter includes 3 users, Professional 5 and Business 10; Enterprise has unlimited users. See the pricing page.
